Tips for Occasional Teachers re: SEMS

All new Occasional Teachers, including those on LTO’s, must register with
SEMS as soon as they receive the acceptance package indicating they have been
added to the Occasional Teacher’s list.

How to Register as a New User:

call the automated system at 613-224-8655

enter your Access ID number, followed by the star (*) key

when asked for your PIN, enter your Access ID number a second time,followed by the star (*) key

the system will tell you to voice-record your name

continue following the prompts and record your PIN

If you are not registered in the automated system, you cannot receive calls for
day-to-day supply teaching, nor can you report your own absence if you are an
LTO requiring supply coverage. Failure to register on SEMS can result in your
name being removed from the Occasional Teachers’ List (refer to your Collective
Agreement, article 13:03 d). If your name is removed, you will have to reapply to
be placed on the list, subject to space being available.

You will use your Access ID number and your PIN to accept or decline jobs when
you are called by the automated system. When you accept a job, you will be
given a job number that you need to bring with you to the school. You can
retrieve a job number from SEMS either by telephone or through the internet.

Arrive at school 15 minutes before class begins. This is very important!

If you have verbally agreed to cover an absence for a particular date, the school
will enter the details into SEMS and you will NOT receive calls from the system
for that same date. Retrieve your job number from the system.

Double booking is something you want to avoid. If two teachers show up at a
school for the same job, the teacher dispatched by SEMS who has a job number is
entitled to be paid.

If SEMS does call you to teach on a day when you believe you have already been
booked, a problem may exist. Listen to the job being offered by the system. If it
is the same one you had agreed to cover, accept it. If possible, contact the school
or the Helpdesk to confirm.
